Cancellation Policy

At Miami Custom Depot Inc. (“Miami Custom Depot,” “Custom Depot,” “we,” “us,” or “our”), many products are ordered, printed, embroidered, personalized, or otherwise prepared specifically for each customer. Because costs may be incurred shortly after an order is placed, cancellation eligibility depends on the stage of the order at the time the cancellation request is received.

Please review this Cancellation Policy before placing your order.

1. Requesting a Cancellation

If you need to cancel an order, contact Miami Custom Depot as soon as possible.

Please provide:

  • Customer name

  • Order or invoice number

  • Telephone number or email associated with the order

  • Reason for cancellation

Submitting a cancellation request does not automatically mean the order can be canceled. We must first determine the current status of the order and any costs already incurred.

2. Cancellation Before Production Begins

If a cancellation request is received before merchandise has been specially ordered and before artwork, setup, digitizing, transfer production, printing, embroidery, or other production work has begun, the order may generally be eligible for cancellation.

Any non-refundable payment processing charges or other costs already incurred may be deducted where permitted by applicable law.

3. Artwork and Design Work

If Miami Custom Depot has already performed custom artwork, design, logo cleanup, file preparation, mockup creation, or other design services, charges associated with completed work may be non-refundable.

This applies even if physical production has not yet begun.

If design assistance was advertised as “free” as part of an order, that offer may be conditioned on completing the qualifying product order. If the customer cancels after substantial custom design work has been completed, we may charge a reasonable design fee if that condition was disclosed before the work was performed.

4. Embroidery Digitizing and Setup

Embroidery orders may require artwork digitizing or other setup before garments are embroidered.

Once digitizing or paid setup work has been completed, applicable digitizing or setup charges are generally non-refundable, even if the customer later cancels the merchandise portion of the order.

5. Special-Order Merchandise

Miami Custom Depot may purchase garments, promotional products, specialty materials, or other merchandise specifically for a customer's order.

If a cancellation is requested after merchandise has been ordered, any refund may be reduced by costs already incurred, including:

  • Merchandise costs

  • Supplier shipping

  • Restocking charges

  • Return shipping

  • Special-order fees

  • Non-returnable merchandise

  • Other supplier charges

If the merchandise cannot be returned to the supplier, the cost of that merchandise may be non-refundable.

6. After Artwork Proof Approval

Approval of an artwork proof authorizes Miami Custom Depot to proceed with production.

Customers should therefore review all artwork carefully before approving a proof.

Once a proof has been approved, production materials may be prepared immediately.

Cancellation after proof approval is not guaranteed and may be subject to charges for merchandise, artwork, transfers, setup, digitizing, materials, labor, or production already completed.

7. After Production Begins

Once customization or production has begun, the customized portion of the order is generally non-cancellable and non-refundable.

Production may include:

  • DTF transfer production

  • DTF application

  • Screen print transfer production or application

  • Embroidery

  • Sublimation

  • UV-DTF production or application

  • Heat-transfer vinyl

  • Specialty printing

  • Personalization

  • Engraving

  • Printing

  • Other custom decoration

Because customized products are made specifically for the customer, they generally cannot be returned to inventory or resold.

8. Completed Orders

Once an order has been completed, it cannot be canceled.

Customized merchandise is subject to Miami Custom Depot's Refund & Custom Product Policy.

A customer deciding they no longer need the merchandise, changing an event, or changing their mind after production does not make a completed custom order refundable.

9. Deposits

Some custom orders may require a deposit before merchandise is ordered or production begins.

A deposit is applied toward the customer's order.

If an order is canceled, the amount of the deposit eligible for refund depends on the stage of the order and the costs already incurred.

Costs that may be deducted include:

  • Merchandise

  • Artwork or design services

  • Embroidery digitizing

  • Setup

  • Transfers

  • Specialty materials

  • Supplier shipping

  • Restocking fees

  • Production labor

  • Other non-recoverable costs

If the costs already incurred equal or exceed the deposit, the deposit may be non-refundable.

If costs exceed the amount already paid, the customer may remain responsible for amounts properly due for authorized work or merchandise, subject to applicable law and the terms of the order.

10. Rush Orders

Rush orders receive priority production and may begin shortly after payment and artwork approval.

Because production capacity may be specifically reserved for a rush order, cancellation options are more limited.

Once rush production has begun or reserved production capacity has been used for the order, applicable rush fees are generally non-refundable.

Contact Miami Custom Depot immediately if you need to cancel a rush order.

11. Event Cancellations or Changes

Miami Custom Depot produces merchandise for birthdays, weddings, reunions, graduations, schools, churches, businesses, sporting events, vacations, and other events.

Cancellation, postponement, rescheduling, or modification of an event does not automatically cancel or make a custom merchandise order refundable.

If your event changes, contact us immediately. If production has not begun, we may be able to modify the artwork, date, or other order details.

Additional charges may apply.

12. Customer Delays

An order is not automatically canceled because a customer delays:

  • Artwork approval

  • Providing sizes

  • Providing personalization

  • Responding to messages

  • Paying an outstanding balance

  • Providing required order information

Customer delays may extend the production and completion date.

If an order remains inactive for an extended period, Miami Custom Depot may contact the customer to determine whether the order should continue.

Any cancellation or refund will still be subject to costs already incurred.

13. Orders Canceled by Miami Custom Depot

Miami Custom Depot may cancel an order when reasonably necessary, including when:

  • Merchandise becomes unavailable

  • Required materials cannot be obtained

  • We cannot reasonably meet an agreed production requirement

  • Payment cannot be verified

  • An order is suspected of fraud

  • Submitted content appears unlawful or unauthorized

  • Production would create an unreasonable safety or equipment risk

  • A significant pricing or product listing error occurred

If Miami Custom Depot cancels an order for reasons unrelated to customer misconduct and no substitute or alternative is accepted, amounts paid for unfulfilled portions of the order will generally be refunded.

14. Changes Instead of Cancellation

Before canceling, customers may contact us to determine whether the order can be modified.

Depending on the production stage, we may be able to change:

  • Garment color

  • Sizes

  • Quantities

  • Artwork

  • Personalization

  • Print location

  • Product style

  • Pickup or shipping method

Changes are subject to availability and may result in additional charges or production time.

Once production has begun, certain changes may no longer be possible.

15. Approved Refunds

When a cancellation qualifies for a monetary refund, the approved amount will generally be returned to the original payment method when reasonably possible.

The amount refunded may be reduced by applicable non-refundable costs already incurred under this policy.

Banks and payment processors may require additional time to post a refund after Miami Custom Depot processes it.

16. Custom Products Are Different From Retail Merchandise

Please remember that Miami Custom Depot primarily produces merchandise specifically for individual customers.

Once we purchase special merchandise, prepare custom artwork, create transfers, digitize embroidery, reserve rush production capacity, or begin decorating products, those costs may not be recoverable.

For this reason, please verify your order carefully before submitting payment and approving artwork.

17. Changes to This Policy

Miami Custom Depot may update this Cancellation Policy periodically to reflect changes in our products, services, production procedures, suppliers, or legal requirements.

The current version will be posted on our website with the updated revision date.
